Exhibitor registration
We invite you to take part in the trade show at the upcoming 2024 conference taking place October 3-6 at the Crowne Plaza Chicago O’Hare Hotel & Conference Center in Rosemont, Illinois. We have chosen this location because of its proximity to a major airport (2.5 miles to Chicago O’Hare with complimentary shuttle) and its centrality to our membership. Our attendance continues to grow each time and we know this event will be our best yet. We are estimating 150 attendees. We are limited to 25 tables at our trade show; 10 will be reserved for Draft level sponsors and the remaining 15 can be either Horse or Draft level on a first come, first served basis.

Exhibitor benefits
Draft level exhibitor / $1000
- Full-page ad in the event program (value of $600) and special recognition at the event
- Booth in the exhibit hall in a prime location
- All conference activities and meals for two people, which include lunch Friday and Saturday, and dinner Friday. (value of $800) Any additional people helping at the exhibit table must purchase a conference ticket.
- Promotions leading up to the event – Facebook features, e-newsletter mailings to 1000+ subscribers, listing on the PHCP website
- May contribute one item, if desired, to the swag bag distributed to all conference attendees (value of $100)
Horse level exhibitor / $695
- Half-page ad in the event program (value of $400)
- Booth in the exhibit hall
- Includes all conference activities and meals for one person, which include lunch Friday and Saturday, and dinner Friday. (value of $400) Any additional people helping at the exhibit table must purchase a conference ticket.
- Promotions leading up to the event – Facebook features, e-newsletter mailings to 1000+ subscribers, listing on the PHCP website
- May contribute one item, if desired, to the swag bag distributed to all conference attendees (value of $100)
Exhibit hall booth
Exhibit booths are 100 square feet (10′ x 10′) and furnished with a rectangular table and chairs. Booths are spaced appropriately to accommodate current health regulations/concerns. There is access to electrical power as needed. Let us know what you need. Assignment of exhibit booths will be on a first-to-register basis. Location compatibility is at the discretion of the Exhibits Director. Please note that prime booth space will be allocated to Draft level exhibitors.

Swag bag
Complimentary swag bags will be assembled on Thursday, October 3, 2024. We estimate 150 swag items will be needed. Please ship or bring your items to the hotel by noon on October 3. See the hotel shipping information below.

Cancellation policy
If an exhibitor withdraws from the event within 60 days of the conference start date, PHCP will retain 50% of the exhibitor’s total contract obligation.
Exhibit hall hours
The exhibit hall will be open during lunch on Friday and Saturday, the Meet & Greet on Friday evening, and the cocktail party on Saturday. Lunch will be 1.5 hours to allow plenty of time for the trade show. In planning programs, ample time has been scheduled to ensure that attendees will have the maximum opportunity to view the exhibits during the two-and-a-half days of the conference, including breaks between every session.
Hotel accommodations
Accommodations are not included in exhibitor registration fees. Reserve your room at the special conference rates at The Crowne Plaza Chicago O’Hare Hotel and Conference Center.
